CLINICAL HYPNOTHERAPY SOLUTIONS TERMS & CONDITIONS

 

  • Fees must be paid via bank transfer at least 48 hours before the scheduled session in order to secure the booking.

  • Cancellations made with less than 24 hours' notice will be charged at the full session fee.

  • Clients arriving late will still be charged the full session fee and the session will finish at the scheduled end time.

  • Failure to attend a session without prior notice will result in the full session fee being charged.

  • The 6-session package must be completed within 3 months of purchase. Any unused sessions after this period will expire and are non-refundable. If a client chooses to discontinue the package before completion, any sessions already attended will be charged at the standard individual session rate and the remaining balance will be refunded.

Rose Penaluna is committed to protecting your privacy and handling your personal information safely, securely and confidentially in line with UK GDPR and the Data Uses and Access Act (2025).


WHAT INFORMATION MAY BE COLLECTED

In order to provide safe and effective hypnotherapy and psychotherapy services, the following information may be collected:

 

  • Your name and contact details

  • Your address or an emergency contact number
  • Relevant medical or health information
  • GP details
  • Brief session notes
  • Information relating to your therapy goals
  • Email communications

 

Only information necessary for therapy, safeguarding, communication and legal obligations is collected.

 

LAWFUL BASIS FOR PROCESSING INFORMATION

Personal information is processed under the lawful basis of Legitimate Interests in order to provide therapeutic services safely and appropriately. Where consent is required, this will normally be discussed with you first. However, information may be shared without consent where there is a safeguarding concern, serious risk of harm, legal obligation or where disclosure is otherwise required by law.


WHY IS THIS INFORMATION COLLECTED

The information collected helps to:

  • Provide continuity between sessions
  • Monitor progress appropriately
  • Ensure therapy remains safe and suitable
  • Manage appointments and communication
  • Meet professional and legal obligations


HOW IS MY INFORMATION STORED

Reasonable steps are taken to keep your information secure. This includes:

  • Paper records are held in locked storage or securely digitized and then destroyed

  • Electronic records are password protected
  • Password protected computers and devices
  • Password protected email accounts

 

HOW LONG IS MY INFORMATION KEPT

Client records are typically retained for 8 years following the end of therapy in line with professional indemnity insurance requirements and industry guidance. For children, records are normally retained until their 25th birthday. Where therapy ends at age 17, records may be retained until age 26. Records are securely destroyed once the retention period has expired.


CAN I ACCESS OR REQUEST DELETION OF MY INFORMATION

Under UK GDPR you have the right to request access to the personal information held about you. Requests should be made in writing via email. Reasonable and proportionate searches will be carried out in line with UK GDPR. Identity will need to be confirmed before information is released within 30 days. My insurance company does not allow the deletion of data, before the minimum time for holding data.


IS WHAT I DISCUSS CONFIDENTIAL

Everything discussed during sessions is treated confidentially. Occasionally, elements of sessions may be discussed anonymously within professional supervision to ensure safe and effective practice. Information may also be shared where there is a safeguarding concern, legal obligation, or court order. Where possible, this would normally be discussed with you first.


WHAT IF WE SEE EACH OTHER OUTSIDE OF SESSIONS

Confidentiality will always be respected. For this reason, I will not initiate conversation outside of sessions unless you choose to do so first.


DATA PROTECTION COMPLAINTS

If you have concerns about how your personal information has been collected, stored or used, you can raise a complaint directly with Rose Penaluna. Complaints must be made in writing via email. Data protection complaints will be acknowledged within 30 days.
